1. CLM (Contract Lifecycle Management) Discussions
Task Management
Current system lacks a dedicated task management feature.
Alarms act as a limited substitute.
Clients (e.g., in Bahrain) requested basic task tracking (assignment, reassignment, comments).
Suggestion: Explore Ascent tool for full task management.
Hosting constraints noted (Saudi Arabia strict requirements).
Document Handling & Formats
Uploads (Word, PDF) convert into PDFs within CLM.
Redlining in PDFs not supported directly.
Workaround: Open PDFs in Word, convert, then re-upload.
Business users can upload documents and trigger workflows manually or via API.
Workflow Automation & API
API can auto-launch workflows.
Existing use case with another client mentioned (name pending follow-up).
Anne to share API documentation with the prospect.
Validation & Reporting
Limited functionality: workflows allow “accept/reject” with single comments.
No detailed reporting on reasons for rejection.
Suggestion: direct negotiation workflow better for section-specific comments.
Hosting Location & Migration
Possible to migrate hosting regions (e.g., France → Saudi Arabia).
Technical process = duplicating environment.
Costly and not encouraged unless absolutely required.
Impacts integration and SSO due to URL changes.
Recommendation: decide hosting at project start to avoid complications.
2. Technical & Product Updates
Add-in for Mick: Ongoing technical issues. Team working to fix urgently.
3. Entity Management & Companies House Integration
Client RFP: Low Debenture Group seeks entity management with UK Companies House integration.
Competitors: Diligent (alleged integration), Athenian (confirmed).
Integration is critical for UK and US sales.
Companies House API is public; integration would be purely technical.
Management may assign Giacomo or others to lead exploration.
Anne to leverage contacts at Diligent to validate extent of their integration.
4. RFP Preparation for Qatar Prospect
Qatari prospect requires RFP submission for CLM.
Anne to prepare draft questions tailored to highlight Dillitrust strengths.
No existing template located; may need to draft from scratch.
Ludwig offered support if needed.
5. Board Portal Notifications
Client (NGSP) requested in-platform notifications (emails) not tied to documents/meetings.
Use case: tender process with multiple companies/services.
Improvement request to be logged formally.
To be considered in roadmap (likely post-2025).
NGSP considered highly strategic client; input prioritized.
6. Action Items
Anne:
Share API documentation with Bahrain prospect.
Prepare RFP questions for Qatari prospect.
Contact ex-Diligent colleagues about Companies House integration.
Mohamed:
Share Companies House API documentation (done).
Follow up with example client using workflow API.
Rajaa:
Log improvement request for Board Portal notifications.
Ludwig:
Support Anne in preparing Qatari RFP if needed.
Follow-up on Mick add-in resolution.
All:
Stay aware of potential Companies House integration requirement.
