Welcome to our guide on the new Collaborative Editing feature in DiliTrust CLM! With this functionality, you can now send documents to multiple reviewers simultaneously — saving time and making contract collaboration smoother than ever.
Instead of waiting for reviewers one after another (sequential mode), you can invite all reviewers to collaborate at the same time directly in Microsoft Word. ?

How to Start a Collaborative Review
Step 1: Choose Collaborative Editing
When setting up a document workflow via Send or Sign, select Collaborative editing from the available options.
✨ This will allow multiple users to review and edit the document simultaneously.
Step 2: Add Participants
For each reviewer, you’ll need to enter:
- First and last name
- Email address
- Private message (optional)
You can add both internal and external users in the same workflow. External reviewers are tagged with [Ext].
You can also add recipients in copy to keep others in the loop.
Good to Know
- There’s no limit to the number of reviewers
- Review order doesn’t matter: all reviewers can contribute at the same time
⚙️ Settings Configuration
Edit Mode Options
Select how participants can interact with the document:
- ✏️ Edit with comments
- ✏️ Edit without comments
- ✏️ Read-only
Set Access Duration
Define how long participants will have access to the document:
- Pick a date manually, or
- Use a preset option
Optional: Set Password Protection
This can be configured through SharePoint if needed.
Access expiration is clearly shown in the Workflow Overview.
Monitoring and Workflow Overview
The Workflow Overview displays:
- All participants and their emails
- Edit mode setting
- Access expiration date
You cannot edit participants, access date, or permissions once the workflow is active in this first version.
To end the collaborative session, click “End Collaborative Editing” in the overview panel.
What Happens When Access Expires?
Once the access date is reached, reviewers will no longer be able to open the document. Stay tuned for future updates on email notifications!
Tips for Smooth Collaboration
- Use private messages to give context to each reviewer
- Choose a realistic access date to avoid interruptions
- You won’t see who made specific changes in the Workflow Overview — use document version history for this
- Password-protect sensitive documents when needed
Limitations (v1)
- ✖️ You can’t change reviewers once the workflow is launched
- ✖️ You can’t change the edit mode or access expiration date
- ✖️ No visibility on who edited what from the overview
- ✖️ Email notifications on expiration are not yet implemented

Can I add external reviewers?
Yes! You can mix internal and external reviewers in the same workflow.
Is there a limit to the number of reviewers?
No, add as many as you need!
Can I edit permissions mid-review?
Not yet — this is planned for a future version.
Where can I monitor progress?
The Workflow Overview shows all participants, but not who made which edits. For that, use Microsoft Word’s version tracking features.
